RPA: Bots save 8 mandays monthly

Every day, several dozen tea shipments depart from the Twinings factory in Swarzędz, Poland to customers on all continents. Each shipment, in addition to the invoice, requires several additional documents as each destination country has different requirements.

Problem

Because of this environment, Twinings grappled with significant challenges. Each destination country had unique requirements for export documents. Manual document generation proved time-consuming and error-prone, especially given the rapidly evolving legal requirements and document formats. Moreover, the diverse array of document types and the repetitive nature of data entry created inefficiencies within the company’s operations. 

Goal of the project

We embarked on a comprehensive automation project for Twinings. The goal was twofold:  
1. To automate invoicing process  
2. To streamline the preparation of additional documents  

Solution

To address these challenges, we implemented two distinct solutions. The first of them is saving the equivalent of eight days of human work each month. It replicated human actions with needed precision. The bot currently handles approximately 85-90% of monthly invoices and processes them in just two minutes, compared to the 15 minutes a human would take. 

Second solution provided by our company supports the standardization of other essential documents, which make up approximately 80% of all additional documents issued by Twinings. Moreover, it accelerates the legalization process of documents issued by state authorities and speeds up the availability of additional documents for customers.

These automation initiatives have yielded remarkable results for Twinings. They have not only saved significant time and enhanced efficiency but also improved the accuracy and reliability of document generation. The company can now adapt more swiftly to evolving legal requirements and document formats while delivering a consistent document format. Furthermore, this solution has led to reduced labor costs, decreased human error and accelerated financial processes through real-time sales reporting.
